Rentablez Guard Terms and Conditions

Last updated: Version 1.0 | Effective Date: 4 November 2026

1. Acceptance and Parties

These Terms and Conditions ("Terms") are a binding agreement between the business that subscribes to Rentablez Guard (the "Customer", "you") and Squapl Digital Media Technologies (OPC) Pvt Ltd, which operates Rentablez ("Rentablez", "we", "us"). By creating a Guard account, installing the Rentablez Guard agent on a device, or using any part of the service, you accept these Terms on behalf of your organisation.

Rentablez Guard consists of the Guard web application, the Rentablez Guard agent for Windows, macOS and Linux (Beta) laptops, desktops and servers, and the Guard features available inside the Rentablez rental management software (together, the "Service").

These Terms supplement the general Rentablez Terms and Conditions. How Rentablez processes device data on your behalf is governed by the Rentablez Guard Data Processing Agreement (the "Guard DPA"), and how personal data is handled is described in the Rentablez Guard Privacy Policy. If these Terms conflict with the general Terms on a matter concerning Guard, these Terms apply. On matters of data protection, the Guard DPA applies.

2. Eligibility

  • Rentablez Guard is a business service. It is offered to organisations that rent or lease devices, not to consumers.
  • You must be at least 18 years old and have the authority to bind your organisation to these Terms.
  • Each staff member who uses the Guard web application must have their own login. Accounts must not be shared.

3. What the Service Does

Subject to these Terms, Rentablez Guard lets your authorised staff:

  • Lock and unlock a managed device from the Guard web application. A lock takes effect within about a minute on a device that is online, and a locked device stays locked when it goes offline or is restarted.
  • Show a lock-screen message of your choosing and issue one-time offline unlock codes.
  • See each device's status (online, offline, locked, lock pending), its agent version and its hardware record.
  • Receive alerts by email or WhatsApp when a hardware change is detected, format protection is lost, precise location is switched off, a device stays offline, or a Linux machine's health turns critical.
  • See the approximate, city-level location of a device, worked out from the address it connects from, and, where the device was installed with Precise location switched on and the end user has consented, its street-level position.
  • Verify BIOS anti-theft settings and safekeep a BIOS supervisor password on supported Lenovo ThinkPad laptops (Beta).
  • See operating-system format protection status on supported laptops (Beta).
  • On Linux machines (Beta): a full-screen lock, a health monitor, and, for a machine set up as a server, a network cut while the machine is locked.
  • Install the agent without an activation code and pair the device to your account with the pairing code it shows.
  • Approve or reject a request to uninstall the agent that is made from the device, and offboard Guard from every device in one step.

Features marked Beta are provided as they are, may change without notice, and may not work on every device. The agent does not read documents or files, capture the screen, log keystrokes or track browsing or application use, and it does not lock, unlock or locate a device except on the instruction of your authorised users.

4. Licences and Fees

  • One licence per device. Every device with the agent installed, including a device that has been paired but not yet mapped to a unit, occupies one licence.
  • Free tier. The first 5 licences (4 Windows and 1 Mac) are free for as long as you hold a Guard account.
  • Paid licences are sold in blocks of 100 at ₹1,000 per block per month plus 18% GST (₹1,180 inclusive), or the equivalent stated at checkout for your billing cycle.
  • Laptop limit. Your licence count is your laptop limit. When it is reached, further activations and pairings are refused until you add a block or remove a device.
  • Rentablez may change prices with at least 30 days' notice by email or in the Guard web application. A change applies from your next renewal.

5. Billing, Renewal and Suspension

  • Paid Guard subscriptions run for a fixed term (monthly, quarterly or yearly as chosen). Before a term ends, Rentablez raises a renewal invoice, which you can pay from the Guard web application through Stripe or Razorpay. Card and bank details are handled by those providers and never stored by Rentablez.
  • A short grace period follows the end of a term. During grace the Service keeps working and a reminder is shown in the Guard web application.
  • If the renewal invoice is not paid by the end of grace, the Guard web application is restricted to the Subscription page and no new device can be activated or paired. Devices already installed keep reporting, and a device that is locked stays locked, so that an unpaid renewal never strands a device in the wrong state. Access is restored as soon as the invoice is paid.
  • Fees are non-refundable except as set out in the Cancellation and Refund Policy.
  • Taxes are charged as required by law. Where GST applies, the invoice shows it separately.

6. Your Responsibilities

Because the Service acts on devices held by your end customers, you agree to:

  • Install the agent only on devices your organisation owns or controls.
  • Have a lawful basis for managing, locking and locating each device, and state in your rental agreement with the end user that the device is managed and may be remotely locked and located.
  • Tell the end user, before the device is handed over, that the agent is installed and what it reports.
  • Obtain the end user's consent before switching on Precise location, and keep a record of that consent. The agent installer asks you to confirm consent, but Rentablez does not record or verify it.
  • Use the Service only to protect your own assets, and never to monitor any person for any other purpose.
  • Restrict lock, unlock, location and BIOS password features to authorised staff, keep their credentials secure, and review uninstall requests promptly.
  • Keep the device's asset tag and account details accurate. Renaming the asset tag of a protected device is refused by the Service for this reason.

7. Acceptable Use

You must not, and must not allow anyone else to:

  • Use the Service to harass, stalk or surveil any person, or in any way that breaks the law of the place where the device or the end user is.
  • Install the agent on a device you do not own or control, or on a device of a person who has not been told it is managed.
  • Reverse engineer, modify, disable or tamper with the agent, or help an end user do so.
  • Share pairing or activation codes outside your organisation, or circumvent licence counts.
  • Resell or sublicense the Service without a written agreement with Rentablez.

Rentablez may suspend an account that breaches this section after notice, or without notice where continued use would harm an end user, another customer or Rentablez.

8. The Agent on the Device

  • The agent is tamper-resistant. On an installed device it cannot be removed through its own setup app without a request that you approve in the Guard web application. You can also remove it from every device at once with Offboard Guard.
  • The agent communicates only with Rentablez. It does not read files, capture the screen, log keystrokes, or track browsing or application use. The data it reports is listed in the Guard DPA.
  • New agent versions are published in the Guard web application. Installing them on a device is your responsibility; the agent does not update itself in the background.
  • You are responsible for the device's operating system, its other software and its physical security. Rentablez Guard does not back up, encrypt or wipe the device's contents.

9. Availability and Support

Rentablez makes commercially reasonable efforts to keep the Service available, but does not guarantee uninterrupted operation. A device that is offline cannot receive a command until it reconnects. Planned maintenance is announced in advance where practicable. Support is provided by email during Indian business hours.

10. Intellectual Property

The Service, the agents and all associated software, documentation and trade marks (including Rentablez Guard™) belong to Rentablez and its licensors. You receive a limited, non-exclusive, non-transferable licence to use them for the term of your subscription. Your data remains yours, and Rentablez uses it only as the Guard DPA allows.

11. Disclaimer and Limitation of Liability

Rentablez Guard is a deterrent and recovery aid. It does not guarantee that a device will be returned, that a lock cannot be circumvented by a determined person, or that a location will be available or accurate. Approximate location is derived from a network address and can be wrong, including when the device is behind a VPN.

To the fullest extent permitted by law, Rentablez is not liable for the loss of, damage to or data on any device; for actions your users take on a device, including locking it; for a device that never comes online; or for indirect, consequential or special losses. Rentablez's total liability under these Terms is limited to the fees you paid for Rentablez Guard in the twelve months before the event giving rise to the claim.

12. Termination

  • You may stop using the Service at any time by not renewing, or by offboarding Guard from the Subscription page, which unlocks any locked device and removes the agent from every device.
  • Rentablez may terminate for a material breach of these Terms that is not cured within 30 days of notice, or immediately for a breach of section 7.
  • On termination, your data is handled as set out in section 8 of the Guard DPA: you may export it within 30 days, Rentablez deletes it from active systems within 60 days, and backup copies are purged within 90 days.

13. Changes to These Terms

Rentablez may update these Terms to reflect changes in law, the Service or its business. You will be notified of material changes at least 30 days in advance by email or in the Guard web application. Continued use of the Service after the effective date of a change is acceptance of the revised Terms.

14. Governing Law and Disputes

These Terms are governed by the laws of India. The parties will first try to resolve any dispute amicably. A dispute not resolved within 30 days of written notice is subject to the exclusive jurisdiction of the courts of Bangalore, Karnataka, India.
